What we are looking for

We are looking for a highly motivated, dynamic, pragmatic and well-organised Administrative Assistant to provide secretariat- and office management support to some Plastics Europe departments. The position is based in Brussels / Belgium.

Key Responsibilities

As Administrative Assistant you’ll be responsible to

  • Manage, coordinate, and organise selected projects and/or activities of the department
  • Organise meetings, support agenda development and meeting minutes.
  • Occasionally participate in internal and external meetings;
  • Actively support preparation of professional presentations for meetings and compilation of project information and inputs
  • Draft and manage contracts with external consultants and project partners
  • Support with handling of invoices, budget monitoring and quarterly presentation
  • Support the department director or manager with travel, expenses management and other administrative matters.
  • Office Management, maintaining databases, archiving of documents and minutes according to internal procedures;
  • Interface with other departments of Plastics Europe
  • Ensure good communication with members of the working groups;

Profile

  • At least 5 years’ experience in a similar position
  • Excellent level of English, knowledge of French/Dutch is a plus;
  • Very good knowledge of MS-Office tools;
  • Strong organisational and time management skills;
  • Dynamic, reliable, flexible and stress-resistant;
  • Strong communicator who is able to relate to people at all levels and from different cultures;
  • A team player but also able to work autonomously
  • Being proactive, demonstrated capacity to take ownership, initiative and ability for multitasking;
  • An EU passport, or other means of residing & working in Belgium.
